Process and policy content

How does the process work, step by step? What are your policies on deposits, refunds, cancellations, or timelines? Visitors who reach the chatbot are often in the middle of a decision and specifically looking for this information. Articles here should be detailed and sequential. A vague “contact us to learn more” is a non-answer that will cause your chatbot to escalate unnecessarily.

Pricing and financing information

This is consistently the most-searched topic on any business website. Write articles covering starting prices, price ranges by tier or category, financing options, what’s included vs. what costs extra, and how pricing is determined. Be as specific as your sales process allows. If you can’t share exact prices, explain what determines pricing and what the next step is to get a number.

FAQs written in the visitor’s language

Most AI chatbot platforms include a Q&A or custom answers feature that lets you enter specific questions and their exact answers. Use this for the 10–20 questions that come up constantly. Write the question exactly as a real visitor would phrase it, not in formal or internal language. “How much does it cost?” performs better than “What is the pricing structure?”

Contact, location, and scheduling information

Hours, locations, how to book an appointment, who to call, what to expect from a first meeting. Visitors asking these questions are often ready to take action. Make sure your chatbot can give them a concrete next step, not just a generic “reach out to us.”

How to Write Knowledge Base Content Optimized for AI Chatbots

AI chatbots don’t read articles the way a human does. It retrieves relevant snippets and synthesizes an answer. This means article structure and clarity matter in specific ways:

  • Write one article per topic. Don’t combine unrelated subjects in a single article. The chatbot retrieves by relevance a sprawling article is harder to search than several focused ones.
  • Lead with the answer. Put the most important information in the first paragraph. The chatbot prioritizes earlier content when constructing responses.
  • Use plain language. Jargon, internal terminology, and corporate-speak all reduce comprehension quality. Write at the reading level of someone encountering your business for the first time.
  • Be specific about numbers, dates, and steps. Vague language (“relatively affordable”, “takes a few weeks”) forces the chatbot to hedge its answers or escalate. Specific language (“starting at $X”, “typically 4–6 weeks”) gives the chatbot something concrete to relay.
  • Include natural variations of key questions. If you’re writing an FAQ entry, add 2–3 alternate phrasings of the question. Most AI chatbots handle semantic variation well, but covering common rephrasings improves coverage.
  • Keep articles up to date. An outdated article is worse than no article it gives confidently wrong answers. Date-stamp articles and assign ownership so there’s accountability for updates.

The escalation experience is where many chatbot deployments break down. A visitor who has been trying to get an answer and finally asks for a human should have a seamless transition, not a dead end.

Set up your human handoff with the following in mind:

  • Route escalations to the right team or inbox. If you have separate teams for sales and support, route accordingly. A prospect asking about pricing should be routed to a sales agent, not a support queue.
  • Configure business hours behavior. During business hours, escalation can trigger a live conversation. Outside of hours, configure the chatbot to set clear expectations, let visitors know when someone will be available, and capture their contact information so the team can follow up.
  • Preserve conversation context. When the chatbot hands off to a human agent, the agent should be able to see the full conversation history. Ensure this is enabled so agents aren’t asking visitors to repeat themselves.
  • Set up an intro message for the handoff. When the chatbot escalates, it should say something clear and helpful, not just “connecting you now.” Something like: “I’ll hand you over to a member of our team who can help with this directly. They’ll be with you shortly. In the meantime, is there anything else I can clarify?”

Core questions (should pass easily)

When a human agent resolves a conversation that the chatbot escalated, ask the agent to flag whether the resolution required information that the chatbot could have had. If it did, that’s a content gap. Over time, this feedback loop turns your human support team into a content development engine.

Add Q&A entries for any question asked three or more times

Set a simple rule: if the same question appears in your conversation logs three or more times and the chatbot struggles with it, write a dedicated Q&A entry for it. This is the highest-leverage content work you can do, as you’re directly solving confirmed visitor needs.

When to Do a Full Knowledge Base Audit

Beyond monthly maintenance, plan for a full knowledge base audit once or twice a year. This is a more thorough review where you read every article, check for redundancy, consolidate overlapping content, and verify that the overall structure still reflects how visitors navigate your business.

  • A significant product or service change (new offering, discontinued offering, major pricing restructure)
  • A rebrand or website overhaul
